Frequently asked questions

Straight answers about My Insight App: what it does, what it costs, live classroom video, bilingual support, migrating from another system and what happens to your data.

About the platform

What is My Insight App?

A childcare management platform for preschools, daycares and multi-site early-childhood organisations. It covers live classroom video, the daily feed, billing, enrollment, attendance and ratios, curriculum, messaging, community groups, staff records and multi-site administration, for families and staff in one system, in English and Spanish.

How much does it cost?

Pricing depends on how many children you have enrolled, how many locations you run, whether you want live video, and what needs migrating. We give you a written quote for your exact configuration after a demo. None of our named competitors publish center pricing either.

Is there really live video of the classroom?

Yes. Cameras are mapped to classrooms and families can open a live stream of the room their own child is enrolled in. Directors control which rooms stream and can switch a room off instantly.

Do families need to pay for the app?

No. The center holds the subscription. Family accounts are unlimited and free, including both parents and authorised pickups.

Is it really bilingual, or just translated menus?

The whole product is built in English and Spanish — screens, notifications, forms, newsletters and the daily feed. A family sets their language and stays in it.

Can we move our data from our current system?

Yes. Migration of children, families, enrollment and balances is part of onboarding. Bring an export and we will map it with you before you go live.

Does it work on Android as well as iPhone?

Yes — native apps for both, built from the same codebase so the two stay in step.

How long does it take to get running?

It depends on how much has to be migrated and whether you are adding cameras. We will give you a realistic schedule during the demo rather than a number designed to close a deal.

Do you support subsidies and state-funded programs?

Yes. Subsidy and scholarship amounts are tracked per child against the family balance, including publicly funded pre-K arrangements such as Vermont’s Act 166.

What happens to our data if we leave?

It is yours. Ask and we export it. We do not hold a center’s records hostage, and we do not sell data to anyone.

About specific features

Can a parent see another family’s child?

They see the room their own child is enrolled in, which is how classroom cameras work everywhere. Access is derived from enrollment, so it changes automatically when a child moves rooms or leaves.

Do we need special cameras?

We will review what you already have during the demo. Most centers keep their existing cameras; we map them to rooms rather than replacing hardware.

Does this replace paper daily sheets?

Yes. Everything a paper sheet carries — feeds, naps, changes, notes — is captured in the app and kept on the child’s record, where a paper sheet goes home and is lost.

Can families download the photos?

Yes — the photos and videos of their own child are theirs to save and share.

What if a family forgets to sign out?

Staff can correct any check-in or check-out from the staff app, and the change is recorded rather than overwritten.

Do ratios follow our state rules?

Ratios are configured per classroom and age group, so you set them to the rule your license is written against.

Can families pay by card and bank transfer?

Payment methods are configured for your center during onboarding. We will walk through exactly what you accept in the demo.

Does it handle subsidies?

Yes. Subsidy and scholarship amounts are tracked per child so the family is only billed their share, and your reporting reflects both.

Can we run a waitlist?

Yes — requests that you cannot place yet stay in the queue with their date, so you fill openings in the order you promised.

Where do signed contracts live?

On the child’s record, alongside their documents, so any director can find them without asking the front desk.

Can we use our own curriculum?

Yes. Lesson plans and milestone sets are configured for your program rather than imposed by us.

Is this useful for conferences?

It is the point. A year of dated observations and photos is a far better conversation than a form filled in the night before.

Can staff message outside working hours?

Messaging is in the app rather than on personal phones, so you can set the expectation and staff keep their own number private.

Do families get a notification?

Yes, with per-category controls so the important messages are not buried under everything else.

Can families see each other’s details?

Group membership shows who is in a classroom community, and families are shown as parents of their children. Contact details are not published to other families.

Who controls a classroom group?

Administrators, the campus director and the staff assigned to that classroom. Membership itself comes from enrollment and cannot be edited by hand.

Does this replace our HR system?

It covers the childcare-specific records — licences, training hours, ratios and time — that generic HR tools do not model. We will map it to what you run today during the demo.

Can staff see only their own records?

Yes. Staff see their own file and their classroom; directors see their campus; administrators see the organisation.

Can an owner see several centers at once?

Yes — administrators work across the organisation while each director stays scoped to their own campus.

Is it usable on a phone?

The director tools are in the same native app as everything else, built for a phone first.

Does it message families on its own?

No. It drafts; a person reviews and sends.

Is there an extra charge per location?

Pricing is based on the size of your organisation. We will quote your exact configuration after the demo.

Can we use our own forms?

Forms are configured for your center during onboarding, including the permission forms your state requires.

See it live. Then run your whole center on it.
